Locating Site/Subdivision records
The date the record was filed determines next steps for obtaining your desired record:
Records prior to 2004
- Site/subdivision records filed prior to 2004 are not available online. Submit an email to SitePlanAdminTasks@HCFL.gov with the following information:
- Year the property was built
- Property address
- Any previous addresses the property was listed under
- Folio number
Note: Please include as much detail as possible regarding your requested documents/records. To find property information use the Hillsborough County Property Appraiser’s property search tool.
Records from 2004 to May 2023
Site/subdivision records from 2004 to May 31, 2023 may be searched on the HillsGovHub portal. Note: Only record data is available for records from this time period. If you require access to documents from records within this time period, please submit a public records request.
- If you have a project ID from the previously used PGM Store (Optix) you can use it to perform a general search and locate all records related to that project.
- If you are searching for a multi-parcel land development record, but are unsure of the main parcel used to create the record, use a General Search using any included parcel to locate the record.
Records from June 2023 to Present
Site/subdivision records from June 2023 to Present are available online and may be searched on the HillsGovHub portal.
- If you have a project ID from the previously used PGM Store (Optix) you can use it to perform a general search and locate all records related to that project.
- If you are searching for a multi-parcel land development record, but are unsure of the main parcel used to create the record, use a General Search using any included parcel to locate the record.

We have updated our records management systems pursuant to Florida Statutes § 119.071 which deems certain personal information, including home addresses, exempt from public disclosure for public officers and employees. Exempt individuals include current and former law enforcement personnel, firefighters, judges or magistrates, public defenders, or other occupations listed under Florida Statutes § 119.071. To ensure compliance with this law, exempt building records that would otherwise be easily located in our public records have been removed. In addition, buildings that are deemed to meet a certain threshold of public importance, such as hospitals, sports arenas, and hotels are exempt under this statute.
